Q. Hi! I downloaded the standalone
demo for Appointment Book - what is the difference in the Network Version? Thanks.
A. The standalone version is for use on a single
computer. The network version is for use in a multi-user environment with two or more networked stations. The network version can of course be installed for use on a single computer, with the view of expanding it to service a network later should the need arise. The standalone version can also be upgraded to the network version at any time.
Q. I downloaded and installed the
trial version of Appointment Book, but I can't find the User Manual. Please help!
A. The Manual.doc file is installed in the application
folder (default - C: \ Program Files \ Appointment Book \ ). You can open it with WordPad or any word processor and do a printout for quick reference.
Q. I downloaded your trial version
of Appt Bk Network (MLT) Version but it won't install! When I tried to open it, it spewed out garbage. What's going on?
A. The program file you downloaded is in compressed zip
format. This is to keep the file size small for online transmission. You must use WinZip or similar unzipping utility to unzip (extract) the 2 files to a temporary folder and then run Setup.exe. Details on network installation are given in the Manual.doc, the other extracted file. You can open Manual.doc with WordPad and do a printout for quick
reference.
Q. I recently purchased your
Appointments Book software for networking with Windows NT in our Opticians Service Centre. Unfortunately, I am having problems with losing names of patients who have been allocated an appointment. Names disappear, and reappear for no reason, and the calender keeps moving to different dates. Help!
A. One or more of your workstations must have the
Date/Time set different than the others. Please set the Date/Time the same for all workstations via Control Panel \ Settings \ Date/Time - set both the Date/Time and Time Zone the same. Otherwise, Today's Date on the appointment page may point to different dates on different stations.
Q. We are an accounting firm of 5
CPA's. We have 6 PC's connected in a peer-to-peer network. Can your software be used in such an environment?
A. Yes, our software can be easily installed on a
peer-to-peer network. You have to select one workstation to act as the "Admin" ("server") station. Please remember to run the Setup.exe file on the client stations as well as the server station. Detailed description of network installation procedures is given in the Manual.doc file that comes with the package. Just doubleclick on this file to open it with WordPad and do a printout for quick reference.
Q. How do I cancel an appointment
or reschedule one?
A. To cancel an appointment, right mouseclick on the
relevant time cell and hit DELETE key. To reschedule an appointment, you can use the Cut-and-Paste routine: Right mouseclick on the relevant source time cell and select CUT from the popup menu. Locate the target time cell on the same or different page. Right mouseclick on it and select PASTE from the popup menu.
You can also use the similar Copy-and-Paste routine to schedule multiple appointments for the same client by doing multiple paste actions.
Q. How do I change the column
widths on the diary?
A. You can re-adjust the column widths and save the new
settings from the Setup Page (not from the Scheduler Page). Position the mouse cursor on a column's vertical border at the top header row of the grid until the cursor changes to <-> shape. Then hold down the left mousebutton and move sideways to adjust the column width. Click OK button when finish.
Q. How do I change the column
widths on the Daily Schedule Print Preview? And how can I print out 16 columns on 2 pages?
A. You can easily re-adjust the column widths and save
the settings on the Daily Schedule Print Preview page as follows:
Position the mouse cursor on a column's vertical border at the top header row of the grid until the cursor changes to <-> shape. Then hold down the left mousebutton and move sideways to adjust the column width. If you move the cursor to the extreme left, you can almost collapse the column completely.
To print out more columns than will fit on one page, collapse some columns first. In your case, first collapse columns 9 through 16, and print out the first 8 columns. Then collapse columns 1-8 and re-expand columns 9-16 to print the latter columns. Once you get the hang of it, you'll find it very easy to manipulate the column widths.
Q. Is there a way to get the calendars to print with mulitple lines per appt slot as they are viewed on screen? I notice that multi-line entries print as a single (sometimes truncated) line. It would be nice if there was a WYSIWG aspect to the printing.
A. You have not been typing text into the cells correctly. The grid cell has automatic word-wrapping capability, but the printer needs to receive carriage-returns to do multi-line printing.
Do not enter text in a long continuous single line. Break text into multiple short lines by pressing ENTER key at appropriate intervals, before reaching the right border of the cell.
Try editing the cells' text entries as above. Insert carriage returns near the right border to advance the text to the next line downwards.
You should then get printouts as you see onscreen i.e. WYSIWYG! You may have to adjust the width of individual columns on the Print Preview Page to obtain clear view.
Q. My name is Tom B. I do independent computer work here in a State College, Pa. I tried loading your scheduling software on a client's network running Windows 2000 OS. I can only get it to actually run on one of the PCs. On the other ones I get a "3051" error saying that it can not access the data base because it is in use by another user or I do not have the proper permission to use the file. I set everything up just as your documentation said. The first PC that I loaded it on is set up to be the software administrator and that is the one that is working. Please let me know what I may be doing wrong.
A. To share the database concurrently on Win2x/XP network, you have to log on as a member of Administrator or Power User or Server Operator group. So you have to redefine the access permissions of the user name you use to log on at the other PCs.
Q. Will the MLT version 3.6.8 work on Windows Server 2003?
A. Yes, the MLT 3.6.5 will work on Windows Server 2003.
But please bear in mind that the software has been designed on a two-tier file server model. On networks with a dedicated server like yours, the software should not be installed on the server itself. The server is used only to house the shared database used by the software. The software should be installed on each client station and run locally. It cannot be run directly off the server from the clients. One of the clients must be selected to act as the Admin station during installation. Details are given in the Manual.doc that comes with the package. You can open Manual.doc with Wordpad and do a printout for quick reference.
Q. I purchased your Appointment
Book software 10 months ago. It's been working really well. But now when I try to backup my datafile, the program says there is not enough space on my floppy disk. Even after running the downsize utility, the file is still too big. I'm using the software on my business laptop which doesn't have a zip drive or CD-RW. Any suggestions?
A. When your datafile size exceeds 1.44MB, you can do a
manual backup to a floppy disk in zip format. Using WinZip or similar file compression utility, you can reduce the file size by up to 90%. Select the datafile db.mdb (default location C:\ Program Files \ Appointment Book \) as the source and A: as the destination. Reverse the procedure to restore the file.
Q. How do I backup the datafile to a CD? I have a CD-RW drive on my computer running XP_Home.
A. You have to do this manually, not from within the program. First, browse to the application folder - Start \ My Computer \ C: drive \ Program Files \ Appointment Book \ Here you will find the datafile named db. Right mouseclick on this db file and select "Send to" from the popup menu. Select the CD-RW drive from the next popup menu. Next, you browse to the CD-RW drive - Start \ My Computer \ Doubleclick on the icon for the CD-RW Drive. You will see the datafile db listed on the right window. Left mouseclick on db to highlight it. On the left window, left mouseclick on option "Write selected file(s) to the CD".
